Tell the supplier which product you mean, where the customer is and whether you need one item dispatched for each customer order. Ask whether they offer that service and how to place a normal test order. Once the service fits, request the complete parcel cost.
If you have products bookmarked but keep receiving catalogs or a bare unit price, the problem may be the order the supplier thinks you want. A factory quoting a batch of 100 pouches has answered a different question from a store asking for one pouch sent to one customer.
The messages below use an illustrative navy pouch. Replace the bracketed details with your real product and business information. You do not need to invent sales volume to make the request specific.
Explore the broader topic: How to Find Dropshipping Suppliers You Can Actually Work With.
01
A short first message you can adapt
Start with the product and the service you need. Keep the first enquiry short enough that the supplier can confirm the fit without reading a business plan.
Subject: Individual customer orders for [product or model]
Hi [name/team], I run [store or business] for customers in [market]. I am considering [exact product link], in [color/size]. Can you dispatch one item per paid customer order to [country/postcode]? Please confirm whether that exact option is available and how I can buy an ordinary test order through your service. I am testing demand and do not have a confirmed monthly volume yet.
For the example in this article, the product is a navy zip pouch, 20 × 12 cm, going to a US destination with postcode 10001. Those are illustrative specifications, not a real supplier listing. The point is to make the requested order recognizable.
The supplier now has three useful facts:
- Item: the linked product and chosen option.
- Order pattern: one item sent to a customer, rather than a batch sent to your warehouse.
- Destination: enough location information to begin discussing the route.
If you already have a genuine forecast, replace the last sentence with it and identify it as an estimate. If you are starting without orders, leave the honest testing statement. A promise of hundreds of daily orders that you cannot support does not improve the arrangement you are trying to build.
Alibaba.com’s inquiry guidance makes the same practical point about specificity: sellers need the product, specifications, packaging and quantities to prepare a meaningful response. Its guide also asks buyers to identify shipment origin and dimensions. Use those information needs; you do not need to copy a large wholesale buyer’s order size.
02
Find out which question the reply actually answered
Imagine sending only, “I like this pouch. What is your best price?” A reply of “MOQ 100” may be perfectly clear to the supplier. MOQ means minimum order quantity; they may be offering a batch sale, with you responsible for what happens afterward.

Before negotiating that number, ask whether they can perform the customer-order service you need. For example:
To clarify the order pattern: I need one navy pouch shipped to each customer’s address after a sale. I am not asking for 100 pieces sent together to my warehouse. Do you offer that service, or do you sell batches only?
This is an illustrative clarification. It changes the question from “make the unit cheaper” to “can this business fulfill my type of order?” A clear no lets you stop trying to negotiate a service the supplier does not offer.
If you accept the batch quote, you may have to fund and store 100 pouches, then find someone to handle customer shipments. That commitment can outlast the small test you wanted to run.
A polite reply can still leave the important gap
Read the answer against the request, rather than judging it by how friendly or fast it sounds.
| Reply you receive | What it tells you to clarify |
|---|---|
| A catalog link | Which exact item and customer-order service are available? |
| A unit price | Does that price apply to one item, and which other charges remain? |
| A 100-unit minimum | Is individual dispatch available, or is this only a batch sale? |
| An offline automatic message | Has a person received the business enquiry through a working channel? |
An automatic message is not an answer about fulfillment. A short reply can also come from missing context, a busy contact or a supplier that is not interested in the proposed order. Better wording cannot guarantee a response or create a service that is absent.
If several suitable-looking manufacturers only offer batch purchases, reconsider the sourcing route. You may need a provider that handles individual fulfillment, or a separate inventory-and-dispatch arrangement. The supplier selection guide explains those different roles.
03
Ask for a quote for one actual customer parcel
After the supplier confirms that it supports individual orders, give it one order to price. Asking for “cheap shipping to America” leaves too much to assume about the product, packing and service.
Subject: Complete quote for one [product/variant] to [destination]
Please price one ordinary customer parcel for [exact product link/code], [color/size], quantity one, sent to [country/postcode]. Use [plain packaging or the agreed presentation]. Please separate the item, preparation/packing, delivery and other charges, state the currency, and explain how taxes or duties are handled. I also need the packed weight and outer dimensions, dispatch time, proposed delivery service and how I receive tracking. Please identify any membership, minimum purchase or stock commitment before I can place this order.
If the supplier needs further address details for a final rate, ask what is required and provide them through the agreed ordering route. A postcode can start a discussion; it is not always enough to establish every final charge.
Product size is different from parcel size
The example pouch is 20 × 12 cm. That describes the product, not the size or weight of its packed shipment. A mailer, protective material, insert or outer box changes what the carrier receives.

Ask for the packed measurements and weight instead of guessing from the listing. If you use the shipping cost calculator, enter the corresponding parcel information. An attractive estimate built from the wrong object does not become a reliable customer-order cost.
Keep the quote attached to the same product, quantity, destination and service. When another supplier replies, first check that it priced those same inputs. Our supplier quote comparison guide covers the deeper cost comparison; the message here is meant to obtain the information that comparison needs.
Separate dispatch from the journey afterward
Ask when the parcel is expected to leave the supplier and which delivery service is proposed after that. “Three days” is not a usable promise if you do not know whether it means preparation, transit or the whole journey.
Also ask what happens to the chosen option when stock changes. A general statement that the supplier “has lots of stock” does not identify the navy pouch you intend to list. Request the process for an unavailable option before accepting customer purchases against it.
04
Follow up on the missing answer
Use a follow-up to resolve the gap in the reply. Sending “Hi” again does not tell the contact what decision is waiting.
For example, suppose the supplier has quoted the product but omitted delivery. You can adapt this message:
Subject: Delivery part of the [product] quote
I have your item price for [product/code]. The missing part is the delivery charge and service for one customer parcel to [country/postcode]. Please confirm those against the same quantity and packaging, or let me know if individual dispatch is unavailable. I need that information before deciding whether to place the test order.
Keep the original product reference or conversation attached. If the gap is instead the ordering method, ask that one question; do not send the entire quote request again unchanged.
If nobody has replied
Use the supplier’s published business contact or enquiry channel. Check whether an automatic reply points to a different supported route and whether you contacted it during its working period.
As a starting routine, wait two business days before one concise follow-up, allowing more time for holidays or a longer response window the supplier gave. If the contact remains unresponsive, continue evaluating other suitable sources instead of making your launch depend on that inbox.
If you speak by phone or voice message, send a short written recap of the specific product, service and commercial details you understood. Ask the supplier to correct anything inaccurate. A friendly conversation is helpful; a product-linked written answer is easier to use when you place the order.
05
Turn a useful reply into a small next step
A detailed answer is progress, not a completed supplier assessment. Save the part that supports the next action:
| What is now confirmed? | Next action |
|---|---|
| The supplier only sells batches | Decide whether to hold stock elsewhere or choose another fulfillment route |
| Individual dispatch exists, but costs are incomplete | Request the exact missing charge or requirement |
| Product, service and complete trial charge are clear | Check the business and terms, then consider a small normal order |
| The reply contradicts the listing or payment arrangement | Resolve the contradiction before paying |
You are looking for a supplier you can work with, not the most persuasive email. Our supplier warning-sign guide explains what needs independent verification. A statement in a chat cannot by itself prove a company’s identity, product quality or delivery performance.
Make the test answer the original question
If you decide to order, use the exact variant and route you evaluated. Record the amount, supplier reference, stated preparation time and shipment information. At arrival, compare the item and presentation with what was agreed.
For the pouch example, the result should answer whether the correct navy option arrives, whether it is packed as requested, and whether the order and tracking updates can be matched to your purchase. That is a proposed test, not one we performed. The sample-order guide develops the observations and product evidence to request.
If the recurring obstacle is that the source sells batches while your store needs individual parcels, AIDrop Agent can review the sourcing and packing requirement. Send the product references, destination and expected order pattern, including whether you are willing to hold any stock. That gives the discussion a concrete starting point instead of another request for a generic supplier list.

Questions about messaging dropshipping suppliers
Should I say that I am dropshipping?
Explain the work you need: an item supplied and sent after each customer order. Calling it dropshipping is useful, but the actual order pattern matters more than the label. A supplier may use a different name for an equivalent service or may only offer wholesale batches.
What if I have no orders or sales history yet?
Say that you are testing and ask about the terms for a small initial order. Give accurate business and product details. Some suppliers may require a business account or may decline the volume; do not promise sales you do not have merely to pass the first conversation.
Should the message be in English or Chinese?
Use a language both parties can work with and keep the numbers, units and product references unambiguous. If you translate the message, retain the original specifications and ask the supplier to confirm the critical details. Translation cannot repair an unspecified color, quantity or destination.
Can I ask for product photos and plain packaging?
Yes—ask what images you may use, which variant they show and what packing options are available. Ask which documents and identifying information will accompany the shipment rather than demanding that every document be removed. Confirm the actual permissions and presentation before publishing the offer.
Should I send a long introduction about my store?
A brief, accurate introduction is usually enough to begin a service-fit enquiry. Add the detail needed for the particular quote or application. A longer message helps when it supplies missing product or order facts; extra praise and an invented growth story do not substitute for those facts.
The examples are original wording for an illustrative order. Adapt them to the actual supplier, product and destination. They are not real correspondence or a promise about replies, prices or delivery.
