A dropshipping chargeback happens when a customer challenges your store’s payment through their bank. Your store must handle the payment case even if a supplier packed and shipped the order. Open the case, find the response deadline and read the complaint. Then decide whether to accept it or reply with proof that addresses that complaint.
Start there, before chasing a supplier refund. “We’re checking the parcel” does not extend the bank’s deadline. A customer saying they will withdraw the dispute does not mean it has closed either. You need the status recorded by the payment provider.
This guide uses Stripe, Shopify Payments and US PayPal documentation checked September 28, 2026. Follow the instructions in your own account: country, contract and case type can change the rules. The wider dropshipping risk management guide covers the store’s prevention process; here, we’ll work through the disputed order, its cost and any supplier recovery.
01
A chargeback arrived. What should you do first?
Open the case in the account that took the payment. Write down the case ID, order and transaction IDs, customer’s complaint, disputed amount, deadline and time zone. Give one person responsibility for the reply and set a reminder before it is due. Check the account directly if notification emails have stopped arriving.
Look at the case status, too. A refund is money you return through the payment system. An inquiry may be a request for information before a formal chargeback. A formal chargeback usually means the bank has reversed or held the challenged payment while it considers the claim. Providers use “dispute” in different ways, so the email subject alone may not tell you which stage you are in.
Stripe’s dispute guide explains that an inquiry can become a formal dispute. A formal dispute debits the challenged amount and applicable fees. Meanwhile, the supplier may still have a paid, shipped order in its system. Both records can be correct; they describe different transactions.
Use the merchant response deadline
Stripe says the merchant’s response window is usually 7–21 days. Use the exact deadline in your case. A guide mentioning a cardholder’s “120-day” dispute window is discussing a different clock. It does not give you 120 days to reply.
Now ask whether the complaint is supported by your records. In a hypothetical order, the customer bought a blue phone case but your supplier shipped red. A delivery scan proves that a parcel arrived; it does not disprove the wrong-color complaint. If the customer is right, accepting the dispute may be appropriate. If your records contradict the claim, gather the evidence needed to contest it.
02
Match the proof to the customer’s complaint
The useful question is what the customer says went wrong. Missing parcel, wrong product and unauthorized payment require different proof. A large attachment bundle does not help if it answers the wrong question.
Use this table to request the right records. Your processor’s reason code and current submission instructions control the exact requirements.
| Customer’s complaint | Records to gather | What they need to show | Gap to watch for |
|---|---|---|---|
| Product not received | Carrier delivery record, tracking history, order address and relevant messages | This order reached the agreed destination | A label or “in transit” scan is not delivery; request the address-linked carrier record |
| Product wrong, defective or not as described | Listing shown at purchase, SKU/variant, agreed specification, this order’s packing or inspection records, buyer photos and resolution messages | What was promised, what was supplied and how you handled the complaint | A catalog photo or inspection of another order does not prove this item’s condition |
| Unauthorized payment | Available authentication results, transaction details, customer history and other relevant authorization records | Evidence that addresses cardholder authorization | Delivery alone does not establish permission to use the card |
| Promised refund not received | Refund transaction, amount, time, reference, return receipt and correspondence | Whether the credit was actually issued, or why it was not due | “We have refunded you” in a message is not a completed refund transaction |
| Charged twice | Both transactions and the matching orders or invoices | Two separate authorized purchases, or a genuine duplicate | A pending authorization and a settled charge are not necessarily two settled payments |
| Order canceled | Cancellation request, dispatch time, purchase-time terms and your reply | The sequence and the basis for your cancellation decision | A policy added after purchase does not show what this customer agreed to |
On a phone, swipe the table sideways to compare every column.
Shopify’s guidance also ties evidence to the complaint. Even a well-supported response cannot guarantee that the bank rules in your favor.
Connect the original parcel to its final carrier
Cross-border tracking often needs an extra step. Ask the supplier for the original tracking number and any replacement number used by the final carrier. Connect both to the same order and destination. If the carrier can only confirm the city, say so; do not present that scan as confirmation of the customer’s address.
PayPal protection has its own eligibility rules
Check seller protection separately. Under US PayPal Seller Protection, the transaction, claim and shipment evidence must meet the program’s conditions. “Eligible” does not cover every complaint. In particular, proof of delivery does not establish protection for a significantly-not-as-described claim.
03
Make the response easy to review, then submit it
Write a short timeline: order, relevant promise, shipment, customer contact and attempted resolution. Next to each attachment, explain what it proves. Remove repeated email signatures, unrelated reviews and policy pages that have nothing to do with the complaint.
For a missing-parcel claim, the following is illustrative wording, to be completed only from the order’s real records:
The customer ordered [item] on [date] for delivery to [address]. The order confirmation records that address. The attached carrier record shows [delivery event and date] for the same parcel and destination. The message from [date] addresses [the relevant customer statement].
If there is no delivery event, that paragraph is not ready. A tracking number alone cannot fill the gap. Describe what the record actually shows, investigate the failed delivery and reconsider whether contesting is justified.
A delivered red case does not answer a blue-case complaint
Return to the fictional order for a blue phone case that arrived red. If your records confirm that mistake, a delivery scan cannot disprove it. You may need to accept the dispute under the provider’s rules. If you respond, separate the records by what they actually establish.
What was ordered
Order-104-spec.pdf could contain the actual order confirmation and purchase-time blue option. It answers what the buyer purchased. Order-104 is an invented label; use the real reference in your own case.
What was sent
Packing-and-message.pdf could contain the genuine packing record and relevant buyer/supplier messages. If no packing photo exists, say so. A stock photo of a blue case does not prove a blue case went into this parcel.
What was offered or refunded
Resolution.pdf could contain the recorded remedy, any actual refund transaction and its amount. A promise to refund is not a processed refund; a supplier credit is not a refund to the customer.
The filenames are suggestions, not evidence we possess. Use the provider’s requested fields and permitted attachments. The useful response addresses the disputed fact; adding more unrelated documents does not fix missing proof.
Stripe recommends relevant, readable evidence organized by type and chronology. Include the actual tracking or policy evidence in the allowed files; the reviewer should not need to visit an external website to find it. Check the case’s file and page limits before uploading.
Stripe and Shopify have different submission timing
Review everything before the final step. Stripe’s response is final once submitted, and saving a draft does not submit it. Shopify Payments automatically sends collected evidence on the due date; you can edit until then, but an early submission ends that opportunity. Save the confirmation and check the recorded status.
Finish the Stripe response in the case itself
For a Stripe dispute you choose to counter, open the actual case and select Counter dispute. Follow its reason-specific form, upload the relevant records and review them before final submission. This is the documented process, not a case we submitted.
Check the files and the final status
Stripe’s current guide limits combined evidence files to 4.5 MB; Mastercard submissions have a 19-page combined limit. Check the live case instructions. After submission, verify the case records the response as submitted and keep its confirmation. A saved draft is not that confirmation.
Keep refunds within the provider’s case rules. Stripe says you cannot issue a separate refund while its formal dispute is open. If the customer asks the bank to withdraw, Stripe still tells you to submit evidence. Include any earlier partial refund so the same money is not recovered twice. A PayPal buyer dispute or another processor may use a different procedure.
04
What does a chargeback actually cost?
The amount debited today and the order’s overall loss are different. You already paid for the product, shipping, processing and advertising. The chargeback removes the revenue that was meant to cover those costs.
Here is a hypothetical $100 order. The $15 dispute fee is an assumption for the example, not a quoted provider fee.
- Customer payment: $100
- Goods paid to supplier: $32
- Shipping: $8
- Original processing cost: $3
- Acquisition cost: $18
- Assumed fee for receiving the dispute: $15
The example loses $76, not the same revenue twice
Without a chargeback, the order contributes $39: $100 − $32 − $8 − $3 − $18. If the whole payment is reversed and the assumed $15 fee stays, the result is −$76. The change from $39 to −$76 is $115: the $100 reversal plus the new $15 fee. Do not subtract the original sale revenue a second time.
Suppose the supplier later credits the $32 goods cost. The result improves to −$44. Shipping, advertising, processing and dispute costs still remain unless someone separately reimburses them. Record that credit when it is agreed and received, rather than counting a promise as money recovered.
Before contesting, check any additional counter fee and the staff time needed. Stripe distinguishes fees for receiving and countering a dispute. Whether a fee is returned depends on the fee, outcome, location and contract; winning does not mean every cost comes back. Compare the amount you could recover with the quality of the evidence and the added cost. This example does not predict your chance of winning.
05
Ask the supplier for a remedy on a separate track
The bank is deciding whether your customer’s payment should stand. The supplier is deciding whether it failed an agreed obligation and owes you a credit, replacement or other remedy. Winning one case does not automatically settle the other.
Send the supplier the purchase order, SKU and variant, agreed product specification or dispatch date, relevant order evidence, customer complaint and requested remedy. For a wrong item, show ordered versus supplied. For late dispatch, show promised handoff versus carrier acceptance. For a lost parcel, identify the carrier, who can claim and the claim deadline.
Ask for a written answer: what will be credited, replaced or refused, and when? A replacement can help a customer who still wants the item, but it does not repay your advertising or dispute fees. If the customer has already been reimbursed, check whether your agreement allows a goods credit instead.
Recovery depends on the terms, cause and proof. If the supplier refuses, keep its answer and decide whether to pause that SKU or route, renegotiate the arrangement or stop using it. Continue the bank response on time while this discussion runs.
Close the payment case and the supplier case separately
Keep two closure entries: the customer/payment outcome and the supplier/carrier outcome. This stops one “resolved” label from hiding an unpaid supplier credit or an open payment case.

If China-side packing, tracking or supplier/carrier evidence is the difficult part, AIDrop’s returns and exceptions service can help coordinate the records and available remedy.
Send an anonymized order issue and the specific help you need. Your store submits the card dispute to its provider; responsibility and reimbursement depend on the actual terms and evidence.
06
Stop the same problem from causing another dispute
Group complaints by reason, SKU, destination and supplier or shipping route. Repeated missing-parcel claims point toward delivery promises, tracking or the route. Repeated wrong-variant claims point toward order mapping and packing checks. Reusing a better bank-response template will not fix either underlying problem.
Make the billing name recognizable and support easy to reach. Show accurate materials, variants and cancellation terms before purchase, and save the version the customer saw. Send meaningful shipment updates: creating a label is not the same as the carrier accepting the parcel.
For US internet orders covered by the FTC merchandise rule, you need a reasonable basis for your shipping promises. If you cannot ship on time, the FTC guide explains the delay-consent or refund duties. A supplier delay does not let you silently move the customer’s promised date.
Finally, check your provider’s actual dispute measurements and monitoring rules. Programs count disputes differently and can vary by region. Winning or accepting a case does not necessarily remove it from the received-dispute count. Manage the rules shown for your account rather than relying on a generic “stay below 1%” target.

Frequently asked questions
Can tracking guarantee that I win a chargeback?
No. It must connect the order to relevant delivery evidence and answer the complaint. Tracking does not prove product condition or card authorization, and the issuer decides the outcome.
Should I wait for the supplier before replying?
Ask for its records immediately, but work to the processor’s deadline. Decide from the evidence available if the supplier is late. Do not invent proof or assume you will receive an extension.
Does a customer withdrawing the dispute close it?
Check the provider’s recorded status. Stripe still requires evidence even when the customer asks to withdraw. Keep the correspondence and follow the case until its outcome is recorded.
Does the supplier have to repay the whole chargeback?
That depends on the agreement, responsibility and applicable law. Treat goods credit, shipping recovery, customer reversal and payment fees as separate amounts, each with its own basis and confirmation.
